Description
Order Workspace for WooCommerce is a free plugin for adding custom internal fields to orders. Track priorities, supplier references, preparation dates, quality checks and other details your team needs while processing orders. Display selected fields as columns in WooCommerce > Orders, then search, sort and filter orders by their values.
Instead of looking through scattered notes or spreadsheets, find your team’s operational information alongside the order it belongs to.
Free is a complete, usable plugin: all the features in the Free section below work without a paid license, trial or external account. Order Workspace Pro is a separate, optional add-on for teams that need faster editing and reusable filters.
What you can do with Free
- Create internal order fields: Text, Long text, Number, Select, Yes/No and Date.
- Edit values on individual orders: keep information with the order, not in separate notes.
- Show fields as Orders columns: review priority, supplier or expected dates without opening each order.
- Sort supported columns: order the list by text, number, date, Select option or Yes/No value.
- Search internal information: use the main WooCommerce search with Workspace values, search only Workspace fields or target one field.
- Filter by a Workspace field: narrow the Orders list by a field and its value.
- Organize your fields: reorder and duplicate definitions as your workflow changes.
- Keep historical values: archive and restore fields, or retire Select options without removing existing order values.
- Delete deliberately: permanently remove archived fields and their stored values using safe background cleanup.
Choose whether each field appears on the order page, as a column or as a filter. These fields are never shown to customers.
When Order Workspace Pro is useful
Free lets you set up the fields, use them on orders and find the information you need. If your team repeatedly updates many orders or uses the same filter combinations, the optional Order Workspace Pro add-on provides:
- Inline Editing: update supported Workspace values from the Orders list without opening individual orders.
- Bulk Editing: change Workspace fields on several selected orders in one operation.
- Multiple Filters: combine Workspace field conditions to narrow down the list.
- Saved Views: save personal filter combinations and return to them later.
For example, Free can display priorities and suppliers; Pro can update those values across selected orders or restore a saved view.
Pro does not replace Free: the paid add-on requires this free plugin to be installed and active. You can keep using Free without upgrading.

Practical uses for internal order fields
- Made-to-order products: priority, supplier, expected date and production notes.
- Fulfillment: preparation date, quality check, packing status and internal reference.
- Wholesale or B2B: supplier reference, account reference and handling instructions.
These are example fields, not built-in automation or third-party integrations.
Designed for WooCommerce
- Supports High-Performance Order Storage (HPOS) and legacy order storage through WooCommerce order APIs and CRUD.
- Supports Administrator and Shop Manager workflows with WordPress permissions and request validation.
- Supports WordPress Multisite with Workspace data isolated per site.
- Stores Workspace definitions and values in the site’s WordPress/WooCommerce database.
- Does not require an external account or send Workspace order data to a remote service.
- Does not add checkout fields, customer-facing output or customer emails.
Order Workspace manages fields created by Order Workspace; it is not a general-purpose editor for arbitrary metadata created by other plugins.
Completed and other non-editable order states are read-only by default, including in Pro.

Installation
- Install and activate WooCommerce.
- Install and activate Order Workspace for WooCommerce.
- Go to WooCommerce > Order Workspace.
- Create an internal field and choose where it should appear.
- Edit field values on an order, or open WooCommerce > Orders to view, search, sort and filter those values.

Is the Free version fully usable without Pro?

Yes. Free includes field creation, editing values on supported individual orders, columns, search, sorting, one filter and field lifecycle tools. No paid license is required.

What does the optional Pro add-on include?

Inline Editing, Bulk Editing, Multiple Filters and personal Saved Views. Free must remain active. See plans.

Are internal fields visible to customers or at checkout?

No. They are managed in WooCommerce administration and are not displayed on the storefront, checkout, customer account or customer emails.

Can I search, sort or filter Workspace values in WooCommerce Orders?

Yes. Free supports Workspace search, field-specific search, sorting and one filter at a time. Pro adds combined filters and Saved Views.

Can I change a field’s type after creating it?

No. Field types remain fixed to protect stored values. Duplicate or create a new field if you need a different type.

Why are some orders read-only?

By default, Pending payment, Processing and On hold orders can be edited. Completed, Cancelled, Refunded and custom statuses are read-only, including in Pro.

What happens if I archive a field or retire a Select option?

Archiving preserves existing order values and lets you restore the field later. Retiring an option prevents new selections while preserving its values on existing orders.

How do I permanently remove a field and its data?

Archive the field, select Delete permanently and allow the background cleanup to finish.

Does Order Workspace support HPOS and Multisite?

Yes. WooCommerce HPOS and legacy order storage are supported, and field data is isolated per site in Multisite.

Can it manage custom metadata created by other plugins?

Not in version 1. Order Workspace manages its own field definitions and order values.

Does the plugin send order data to an external service?

No. Workspace data remains in your WordPress/WooCommerce database, with no required remote account.

What happens if I deactivate or uninstall it?

Deactivation pauses plugin-owned background work. Uninstall does not silently erase field definitions or saved order values.
